Share AI Notetaker recordings with your team

You can now share AI Notetaker recordings directly from Ashby, including specific moments from an interview, while controlling who can access them.

Interview recordings often capture context that written feedback misses. Until now, sharing that context could mean checking permissions, asking an admin for access, or downloading the recording and losing the transcript and notes.

Now, you can share a recording, grant recording-specific access when needed, and add context for what you want someone to review, all without leaving Ashby.

• Share recordings from the recording page, popup player, or candidate profile
• Grant recording-specific access while sharing with colleagues who do not already have it

Sharing and access

Anyone who can view a recording can share it with colleagues who already have access.

Users with the new Can grant meeting recording access permission can also grant someone access to that specific recording while sharing. Ashby shows who already has access, who will be granted access, and when access cannot be granted.

Recording-specific access can be reviewed and revoked at any time.

The Can grant meeting recording access permission is available under Can see meeting recordings in role settings and is enabled for Admin Private by default.

There is also an organization-level setting that determines whether limited access interviewers can grant access to recordings from interviews they participated in. This setting is off by default.

For confidential jobs, recordings can only be shared with people who already have access to the job. Recording-specific access cannot be granted.

Share the right moment

You can link directly to a timestamp or select a time range before sharing, so the recipient lands on the exact part of the interview you want them to review.

You can also add a message explaining why you are sharing the recording or what feedback you are looking for. Ashby includes your message in the share email.

What recipients see

People granted recording-specific access open a standalone, view-only page containing the recording, transcript, and notes. They do not gain access to the candidate profile, job, or interview briefing through the share, and they cannot re-share the recording.

Sharing AI Notetaker recordings is available on all plans at no additional cost beyond AI Notetaker. To review who can grant recording-specific access, go to Admin > AI Notetaker > Sharing.
